Frequently Asked Questions

Everything you need to know about Xtend. One — from how it compares to existing tools to how automation, approvals, and data ownership work.

Why not just stick with our current tools?

Your current tools probably work fine on their own. The problem is the gap between them — updates that don't cross teams, decisions made in chat that no one can trace later, and the constant low-level effort of keeping everyone aligned. Xtend closes those gaps so work moves without the manual overhead.

Is this another tool my team has to learn?

If your team is still chasing updates, switching between tabs, or asking for status — the system isn't working. Xtend replaces that friction rather than adding to it. One place for tasks, approvals, records, and conversations. Teams adopt it because it makes their day easier, not harder.

"We shut down 4 tools in 4 weeks. Thanks to Xtend for saving time and money."

How quickly will we see a difference?

Most teams start with one broken workflow — an approval process that happens over WhatsApp, a status update that lives in a spreadsheet — and feel the difference within days. Customers report 3x productivity gains and 2.5x better ROI on their software spend by the 6-month mark, based on averages across 20 customers.

"Our system was broken with just spreadsheets and email. Xtend paved way for better control and a complete picture of what is happening in our business."

What if our processes change later?

Workflows can be reconfigured, data structures updated, and new modules added without rebuilding anything from scratch. You're not locked into how your business operates today.

Is this too complex for a small team?

Start with the one thing that's breaking right now and expand only when you need to. You don't pay for complexity you're not using.

How is this different from a CRM or ERP?

Neither a CRM nor an ERP is built for how work actually moves between your teams. Xtend is built around execution — the handoffs, approvals, tasks, and records that fall through the cracks between single-purpose tools.

"We never realized we were using so many tools and our data had been all over the place. With Xtend we are seeing great traction in adoption and control on our processes."

What happens to our data if we ever leave?

Your data is always structured, always exportable, and never held hostage. The real risk isn't switching platforms — it's staying in systems where context is scattered and decisions aren't traceable.

Where does AI fit in?

AI features are only as good as the data they can see. Because everything in Xtend lives in one structured system with clear relationships, AI has the context it needs to actually be useful — not the fragmented, incomplete picture it gets from stitching together disconnected tools. Customers have seen 10x cleaner, more unified data as a result.

Will this replace all our other tools?

Task management, approvals, notifications, document handling, reporting — Xtend handles all of it natively. It starts by fixing the execution gaps and over time reduces dependency on the patchwork of tools around them.

Can I automate repetitive tasks without a developer?

Set a trigger — a status change, a form submission, a date. Define the action — notify a team, create a task, update a field. It runs automatically, every time. No Zapier, no developer, no double entry.

How do approvals work?

You define the steps, the approvers, and the conditions. Multi-level, parallel, and sequential flows are all supported. Every approval is logged, auditable, and — importantly — no longer happening over chat.

What are microsites?

A microsite is a form or intake page you build inside Xtend. When someone fills it in — a customer, a vendor, a job applicant — their input lands directly as a record in your system. No spreadsheet exports, no manual re-entry, no lost emails. Just data in context, ready to action.

Can I control who can edit a record?

Record locking lets you prevent further edits once a record reaches a certain state — automatically (once an order is dispatched, for example) or manually for sensitive records. No accidental changes to finalised data.

How does collaboration work inside Xtend?

Every record has a built-in comment thread. Tag colleagues, raise issues, log decisions, and track every conversation without leaving the system. Real-time notifications mean nothing gets missed — and nothing gets resolved over WhatsApp.
